ScoutBook+ Export Guide
TL;DR: Reports → Custom Roster Report (NOT Report Builder) → Check all boxes → Generate → Download CSV
Why ScoutBook+?
Most complete data - Single CSV includes members, family relationships, den assignments, positions, training, and parent contacts.
Export Steps
- Access: ScoutBook.Scouting.org → Log in → Select your unit
- Navigate: Reports → Custom Roster Report (⚠️ NOT "Report Builder")
- Configure: Check these boxes:
- ✅ All units, Phone numbers, BSA Member IDs (required)
- ✅ Adult options, Adult training, Adult positions
- ✅ Scout options, Advancement, Den assignments
- Download: Generate Report → Download CSV
CSV Contents
- Youth: Name, BSA ID, DOB, Grade, Den, Rank, Parent info
- Adults: Name, BSA ID, Email, Phone, Positions, YPT status
- Relationships: Parent-child links via BSA IDs
Known Issues & Workarounds
Kindergarten/Lion Grade Field
Workaround: TroopBook automatically infers Kindergarten grade for members assigned to "Lion" dens. You may see a warning during import preview, but the import will work correctly. The cohort year is calculated from the inferred grade.
Alternative: Manually edit the CSV before importing - add "Kindergarten" or "K" to the GradeName column for affected scouts.
Arrow of Light (AOL) Den Type
ScoutBook+ sometimes exports AOL scouts with just a den number (e.g., " 5") and no den type. This is normal - fifth graders in Cub Scouts are typically Arrow of Light scouts.
Import to TroopBook
- Dashboard → Import → Upload CSV
- Review preview
- Execute Import
Re-importing: Import again anytime to sync changes. TroopBook matches by BSA ID (won't duplicate).
Troubleshooting
- Missing dens: Check "Den assignments" was enabled in export
- Missing parents: Check "Scout options" was enabled
- Duplicates: Verify BSA Member IDs are present
