Organizing members into dens, patrols, and teams

TL;DR: Organize members into dens/patrols. Use Quick Start templates or import from ScoutBook+. Cohort years track advancement automatically.


What Are Units?

Units organize youth into age-appropriate groups:

  • Cubs: Dens (Lions, Tigers, Wolves, Bears, Webelos, AOL)
  • Scouts BSA: Patrols
  • Venturing/Sea Scouts: Crews/Ships, Teams

Creating Units

Option 1: Quick Start (Fastest)

Use pre-built templates for your program:

  1. Dashboard → Units → Quick Start
  2. Select program type
  3. TroopBook creates standard structure
  4. Assign members to appropriate units

Creates: All typical dens/patrols for your program in one click.

Option 2: Import

Units created automatically when importing from ScoutBook+:

  • Den names and numbers from roster
  • Members pre-assigned
  • Cohort years calculated

Option 3: Manual Creation

Create individual units as needed:

  1. Dashboard → Units → Create Unit
  2. Fill in details:
    • Name: "Lion Den 0", "Patrol Thunder"
    • Type: Den, Patrol, Team, Committee
    • Subtype: Lion, Tiger, Wolf, etc. (for dens)
    • Cohort Year: Graduation year (for age-based units)
  3. Assign members

Key Fields

  • Name - Display name ("Tigers Den", "Eagles Patrol")
  • Unit Type - Den, Patrol, Team, Committee
  • Group Subtype - Lion, Tiger, Wolf, Bear, Webelos, AOL (Cubs only)
  • Cohort Year - Expected graduation/crossover year
  • External Reference - Den number from BSA system (for imports)
  • Description - Optional notes

Cohort Year Explained

Cohort year tracks when youth will graduate/crossover:

Why it matters: Enables annual advancement tracking and automatic den reassignment.

Assigning Members

From Member Page:

  1. Members → Select member → Add to Unit
  2. Choose unit from dropdown
  3. Save

From Unit Page:

  1. Units → Select unit → Add Member
  2. Search and select member
  3. Save

Bulk Assignment (future): Filter members by grade, bulk assign to dens.
