ScoutBook Legacy Export Guide

Step-by-step guide to exporting from the original ScoutBook (pre-ScoutBook+)

TL;DR: Export 2 CSVs (Adults + Scouts) → Upload both → TroopBook merges them. ⚠️ Uses email matching for relationships (less reliable than ScoutBook+).


About ScoutBook Legacy

Original ScoutBook (pre-ScoutBook+). Requires two separate files - Adults and Scouts.

Includes: Den assignments, email/phone, positions

Limitations: Email matching for relationships (unreliable if emails don't match exactly), no BSA ID relationships

Export Steps

  1. Adults: ScoutBook.com → Roster → Adult Leaders → Export/Backup → CSV
  2. Scouts: Roster → Scouts/Youth → Export/Backup → CSV
Name files clearly: Pack807_Adults.csv and Pack807_Scouts.csv for easy upload.

CSV Contents

Adults: Name, BSA ID, email, phone, positions, YPT status

Scouts: Name, BSA ID, grade, den, rank, parent name/email

Import to TroopBook

  1. Dashboard → Import → Upload both CSV files
  2. Review preview (check relationship matches)
  3. Execute Import

Relationship Matching: Links parents to children via matching emails. ⚠️ If parent email in Scouts file doesn't match adult email in Adults file, no relationship created.

Email Matching: Must match exactly (case-insensitive). If parent email is blank or doesn't match, add relationship manually after import.

Migrating to ScoutBook+

If your unit migrates to ScoutBook+:

  1. Export from ScoutBook+ using this guide
  2. Import into TroopBook
  3. Existing members update automatically (matched by BSA ID)

Benefits: Single file, BSA ID relationships (more reliable), complete parent data

Troubleshooting

  • Missing relationships: Parent emails don't match or are blank - add manually after import
  • Duplicate members: TroopBook merges if BSA IDs match
  • Missing dens: Assign in ScoutBook Legacy or manually after import
  • File format errors: Re-export as CSV (not Excel/PDF)
